How Do I Insert Files into OneNote Pages?

You can insert and embed various types of files and content to your OneNote pages. We'll explore your options below. Feel free to jump ahead by clicking on the links below:

 



Creating File Shortcuts

 

Step 1

Click on the "Insert" tab and select "File Attachment". A pop-up window will appear, prompting you to select the file you would like to attach. Select your file, then click "Insert".

⚠️NOTE⚠️ You can also drag and drop a file directly onto a OneNote page.


Step 2

The pop-up window below will appear. Select "Attach File".


Step 3

The file attachment will appear on your page like in the example below. When you double-click on the file shortcut, the file will open in an external window. By hovering over the file attachment, you can see the full file name, file location, and file size.



Embedding a PDF

Step 1

Click on "Insert" tab and select "File Printout". A pop-up window will appear, prompting you to select the file you would like to attach. Select your file, then click "Insert".

Step 2

The pop-up window below will appear. Select "Attach File".


Step 3

A file shortcut will automatically be created, and the PDF pages will be converted into pictures that are selectable, moveable, and resizable. You can delete the file shortcut and the file will still be embedded.



Annotating a PDF Printout

Step 1

Hit "CTRL" + "A" or "CMD" + "A" on your keyboard to select all the PDF pages at once. Right-click on one of the pages and select "Set Picture as Background".


Step 2

You should now be able to type, draw, and highlight anything on the PDF pages, as shown below. Click on the "Draw" tab to check out the various annotation options available. Examples of annotations are shown below.




Embedding Online Content

You can also embed other web content directly to OneNote. Check out the full list available on Microsoft's website here (or search for "embed content in OneNote"). Some quick examples include:
